#Content Requests
A content request can be created directly from the content gallery, by clicking on the "Add" button. In the dialog that appears, the option "Expected content" can be selected.
When creating an expected content item, the user is given the option to specify if an external content request needs to be created.
The first step is to select the type of expected content that needs to be requested, based on a content template or content template group.
When enabling the checkbox "Request content", the fields for requesting the document will become available.
The following information can be provided: |Field|Description| |-|-| |Recipient type| This field specifies whether the recipients are users inside or outside your organization. | |Recipient(s)| The recipients for the content request. Depending on the recipient type, users from within the organization can be added, or external email addresses can be specified. | |Password | When requesting a document from somebody outside of your organization, it is mandatory to specify a password. With this password, the external user is able to login and fulfill the content request| |Instructions| Free text to specify the upload instructions | |Deadline| The deadline for the content request. After the deadline has expired, it is no longer possible to upload the requested document. |
Each document that is uploaded, needs to be reviewed before it becomes available for all Content Gate users. By default, the user who created the external content request will be added as a previewer. If another previewer is required, the toggle "Add me as the reviewer" can be unchecked and other reviewers can be specified.
After all required information is specified, the external content request can be added and email-notifications will be sent.
If the user want to upload the document, the button "Upload document" in the mail notification can be used to navigate to the upload page of Content Gate
The user can upload the document and has the possibility to add some additional remarks. If the user cannot deliver the file, the content request can be declined using the button "I can't deliver the file". After specifying why the file cannot be delivered, the requestor of the file will be notified by email.
If the user can't fulfill the content request, the button "Decline Request" in the mail notification can be used. The user is redirected to the page for declining the request where the reason can be specified.
After specifying why the file cannot be delivered, the requestor of the file will be notified by email.
External content requests can be edited or cancelled from with the content gallery. By selecting the expected content item, the buttons to perform this action become available.
After a content item is added, the review process is started. Each uploaded content item needs to be reviewed before it becomes visible for all authorized users in Content Gate. The reviewer that is specified when creating the request, will be notified by email that an uploaded item needs to be reviewed.
When the "Review Content" button is clicked, the user is redirected to a page where the content can be approved or rejected.
There is also an icon in the content gallery indicating that there is a task that needs to be completed by the user.
When the uploaded content is approved, it will become visible for all users and will be stored at the configured storage provider. If the uploaded content is rejected, the reviewer can modify the request and resend the request, or cancel the request.
The content request functionality has pay-per-use pricing model. In order to use the functionality, a bundle needs to be purchased for a specified number of content requests. Contact your implementation partner or sales@axtension.com for more information.
An overview of the active bundle and the content requests that have been used, can be viewed at the "Licenses & Usage" tab in the "General settings" menu.
